Getting started with Cliq

Cliq is a communication tool that helps simplify and streamline your communication with organized conversations, information that's easy to find, and much more. In this guide, you'll learn how to make audio/video calls and send messages to enable effortless collaboration and boost productivity across your organization.

Accessing Cliq

You can access the Cliq application from the Workplace Dashboard,

  1. Log in to https://mail.gov.in.
  2. Select the Cliq application from the top pane. 

One-to-one messages

One-to-one messages are individual chats that can be used when a user wants to engage with another user. To start a one-to-one chat in Cliq, follow the below steps:

  1. Log in to https://mail.gov.in and navigate to Cliq application.
  2. Type the username in the search bar and select the user you want to chat with. 
  3. Click on Chat with user and, type in the message you want to send in the message composer and press enter. 

You can also attach files from here and send them to the user. To send an attachment, click the Attachment icon on the message composer, and select the file you want to share with the user.

Group Chats

You can create a group chat to connect and collaborate with your organization members. To start a group chat, follow the below steps:

  1. Log in to https://mail.gov.in and navigate to Cliq application.
  2. Click the Quick Actions (+ icon) in the right pane.
  3. In the options that appear, select Start a Group Conversation.
  4. Select the users you want to add to the group, type the Chat title and click Start to initiate a group chat.

A group chat will be created. Here, you can discuss topics with others and engage in a meaningful conversation.

Channels

Channels are organized spaces for communication with more than one person. These can be made for different levels, such as 

  • Organization wide - All organization members can find and join the channel based on the channel's visibility.
  • Team channels - All team members can find and join the channel based on the channel's visibility.
  • Personal channels - Organization members can only join on invite.

Creating Channels

To create a channel in Cliq:

  1. Log in to https://mail.gov.in and navigate to Cliq application.
  2. Click the Quick Actions (+ icon) in the right pane.
  3. Select Create a Channel in the dropdown list that appears.
  4. Create Channel dialog window opens.
  5. Select the preferred channel level from the options:
    • Organization
    • Team
    • Personal
  6. Upload a channel image and provide the name of the channel.
  7. Choose the visibility of the channel as per your requirements. The option to select the visibility of the channel is applicable only when creating an organization or team channel. 
    • Closed -  The Closed option allows members to join on an invite, and the channel is not searchable.
    • Open to all - The Open to all option allows anyone to join, and the channel is searchable. 
  8. Enter the names of the participants and select from the suggestions to add them to the channel. 
  9. Provide a Description of the channel. 
  10. If needed, you can set Advanced Configurations for the channel, or you can do it later in the channel settings page. 
  11. Once done, click Create Channel.

Advanced Configurations - Channel permissions

Channel Permissions are a set of parameters that control what actions a member can perform in a channel. These permissions have the same action name across different channel levels, but they can be customized for each channel.

The channel permissions are classified into Configurations and Permissions. You can configure channel permissions while creating a channel and also later in the channel info section. 

To view the channel permissions, 

  1. Log in to https://mail.gov.in and navigate to Cliq application.
  2. Select Channels from the left pane and open the desired channel.
  3. Click the Channel image and select Permissions from the dialog window that appears.

Configurations

  • Reply modes - Select the mode of reply for this channel from one of the options below:
    • Normal Reply - All the replies posted in the channel will be in the form of a stand-alone message, and a user cannot use threaded replies.
    • Threads - A user can reply to a normal message by creating a thread.
    • Allow both - Select this option to allow both modes of reply for this channel.
  • Notify when users join or leave - This toggle button, when enabled will post an info message and notify when a user joins or leaves the channel.

Permissions

Select the checkbox for each action, defining who can perform the following actions in channel permissions:

  • Edit Channel Info: To edit channel name, image and description.
  • Add participants: To add participants to the channel.
  • Remove participants: To remove participants from the channel.
  • Clear all messages: To clear the entire conversation history of the channel.
  • Archive channel: To archive the channel.
  • Delete channel: To delete the channel.
  • Send messages: To send messages in channel.
  • Reply in thread: To reply to a message in the form of threads.
  • Mention users: To use @mentions for users, @mentions for teams (org groups) and #tags for channel.
  • Leave channel: To leave the channel when needed.
  • Delete Messages posted by others: To restrict who can delete messages sent by others.
  • Delete Message: To delete messages in the channel.
  • Edit Message: To edit messages in the channel.
  • Pin Messages: To pin messages in the channel.
  • @all, @available mentions: To mention all users through @all (all participants of the channel) and @available (only participants whose status is available)
To send a message in channels:
  1. Log in to https://mail.gov.in and navigate to Cliq application.
  2. Select Channels from the left pane and open the desired channel.
  3. Type your message in the message composer and press enter to send it instantly.

You can engage with other members of the channels by reacting to messages or replying to them, and keep the conversation flowing by sharing links or reacting with emojis.

Send Audio/video messages

To share Audio or Video messages in Cliq:

  1. Log in to https://mail.gov.in.
  2. Navigate to Cliq application and select the user to whom you want to send the message.
  3. Open the message composer.
  4. Hover over the Voice message icon, then click on the Voice or Video message icon.
  5. Click Start Recording and record your audio or video message.
  6. If needed, you can Retake the video message before proceeding.
  7. Click Proceed to share your video message in any chat you like.
  8. To delete the recording, simply click on the close icon.

One-to-one Audio / Video calls

One-to-one audio calls facilitate understanding and clarity. Initiate calls effortlessly, connecting with individuals in real-time to enhance collaboration and relationships.

You can start a one-on-one Cliq call using the following options:

Call via Quick Actions (+ icon)

  1. Click the Quick Actions (+ icon) in the right pane.
  2. Select Make a Call in the dropdown list that appears.
  3. Select your preferred option to connect with the individual you want using the Audio or Video call icon displayed next to the user's name.

Call via user's chat window

  1. Navigate to the user chat window who you would like to make a call.
  2. In the user's chat window, click the Call icon in the chat header. 
  3. You will have three options to choose from : Audio call, Video call and Screen Share.

You can also start a video or audio call from the user's profile section. Click the user's profile and select the audio/video icon that appears. When you make an audio or video call, the user can accept or decline your call.

  • If a user accepts your call, you will be connected.
  • If a user declines your call, you will receive a message in the chat that your call is declined.

Note:

When making your first audio/video call in Cliq, you may see a browser permission prompt to access the camera and microphone.

My Pins

You can pin every Chat or Channel you often use, in the sidebar under My Pins. This way, you don't have to search for them all the time.  To pin your chats, follow one of the two steps given below:

  1. Log in to https://mail.gov.in and navigate to Cliq application.
  2. Hover over the chat or channel name in the left sidebar and click on the Pin icon.  

You can also pin a chat or channel by clicking on Actions at the bottom right corner of the chat window of the chat or channel, then selecting Pin Conversation.

History

If you want to view past messages or calls again, you can find them under the history section. To view history, do the following:

  1. Log in to https://mail.gov.in and navigate to Cliq application.
  2. Select History from the left side bar.
  3. Click Direct calls / Conversation / Sent messages from the options on the left to view its history.

You can also use the filter option or search bar to view the history of a specific user, group, or channel, allowing you to narrow down your results.

Accessing Files

To access and view media files shared via Cliq,

  1. Log in to https://mail.gov.in and navigate to Cliq application.
  2. Select Files from the left side bar.
  3. You'll discover your files organized into three distinct categories:
    • Images
    • Videos
    • Audio
    • Files
  4. Switch between the Shared in Cliq, Taz, or Recordings sections from the left pane to access their respective files or recordings.

You can also use the filter option or search bar to search for files, audio or video messages from a specific user, group, or channel.

Cliq Status

Cliq allows you to set your status to let others know if you are available, busy, engaged at work, etc. Cliq provides different statuses that can help you in different scenarios. You can choose from the built-in default statuses or create your custom statuses in Cliq. To set your status:

  1. Log in to https://mail.gov.in and navigate to Cliq application.
  2. In the top right corner of the screen, click on your profile image.
  3. Select a status from the status icon or status text drop-down menu.
  4. You may also personalize your status by typing it in the status text option box.

Search bar in Cliq

In Cliq, you can use the various search filters available to find chats from specific users, keywords, times, files, and links. Use the global search bar to refine results by category and apply filters to find the exact match you're seeking. The default filter is All, but you can view and select other filters by following these steps:

  1. Log in to https://mail.gov.in and navigate to Cliq application.
  2. Click the Search icon in the top-right corner to open the search bar.
  3. Click on All, and a drop-down will appear displaying all the filters.
  4. Choose the filter you want and search for the result.

@mentions in Cliq

The purpose of @mentions is to tag a user so that they do not miss out on messages meant specifically for them. You can use the "@username" mention to tag or refer to a specific user. If the user is not part of the channel or chat, you'll get a prompt asking if you want to add the user.  You can also use the "@all" mention to tag all users of a group chat or channel.

You can view all your @mentions from the right pane by clicking the @mention icon.

Notifications in Cliq

To configure notifications, do the following:

  1. Click your Profile image in the top-right corner of the screen.
  2. Select Profile & Settings from the user panel that appears.
  3. Select Notifications on the left sidebar of the screen that appears. 
  4. You'll find settings for Desktop, Sound, Email, Taz, App Notification, Pop ups & Banners notifications.
