Manage Slides in Show

Master Slide

The Master slide controls the overall design of your presentation, such as the background color, font style, and size. Before you get started with your slides, you can customize the layouts in the Master View. This will ensure consistency, and the formatting will not change when you work on the decks.

Changes made to the slide layout will only apply to the decks following it in the presentation. 

Add a new placeholder

Placeholders are boxes that contain the content on the slide. A placeholder often contains formatting specific to the slide layout (for example, a larger font size for the title). You can add additional placeholders to include text, pictures, or shapes in the slide layouts. To add a new placeholder, follow the steps mentioned below:

Note:

You cannot add a new placeholder in the Master slide.

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Go to the FORMAT mode, then click Edit Master Slide at the bottom of the pane. This will open the Master View.
  4. You can also click the View dropdown at the bottom of the screen and select Master View to edit the master slide.
  5. Open the desired slide layout in the Master View to add a placeholder
  6. Click the Plus icon at the top-right corner of the FORMAT panel and choose the type of placeholder you want to insert. You can add the following placeholders in Master View:
    • Title
    • Content
    • Text
    • Image
  7. The selected placeholder will appear on slides that follow the layout. You can move, resize, and rearrange the placeholder as required.
  8. You can also add multiple placeholders in the layout. Once you are done with adding placeholders, click the Close Master button in the top right corner of the slide to return to the Normal View. 

Add header or footer placeholder

Using the Master View, you can have the slide number, footer message, and date appear either in specific slides or on the entire presentation. Further, you can move the location of footer placeholders anywhere within the slide. Moving the footer placeholder to the top of the slide will make it the header for your slide. You can now use the placeholder to perform different tasks, such as inserting logos and typing names. To add Header or Footer placeholders, follow the steps mentioned below:

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Go to the FORMAT mode, then click Edit Master Slide at the bottom of the pane.  This will open the Master View.
  4. You can also click the View dropdown at the bottom of the screen and select Master View to edit the master slide.
  5. Choose the Master or a slide layout to add header and footer elements.
  6. Enable any of the options, such as Show Slide Number, Footer Message, and Date in the right panel. Once you are done with adding header and footer elements, click the Close Master button to return to the Normal View.
  7. The Update Automatically checkbox under Date will update the slide with the current date, while the Fixed Date option will display the slide with a specific date. This is the current date by default. However, you can enter a different date in the space available.
  8. You can remove the footer elements anytime from slides. Simply disable the Footer Message checkbox in the Master View.

Rearrange, resize, or move a placeholder

Move and edit placeholders in the Master slide or specific layouts to give a more uniform and neat appearance to your elements in slides. Rearrange these placeholders, move them to a new location, or resize them to fit your content, picture, or shape. You can also delete unwanted placeholders in the Master View anytime. Follow the steps mentioned below to rearrange, resize, or move a placeholder:

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Go to the FORMAT mode, then click Edit Master Slide at the bottom of the pane. This will open the Master View.
  4. Choose the Master or a slide layout to modify placeholders.
  5. Select the placeholder, then perform any of the following operations:
    • Align using any of the options under the Arrange panel
    • Drag its points inwards or outwards to resize accordingly
    • Drag along its borders to move it to a new location in the slide 

Apply a background style

You can apply background fills to the Master or individual layouts in the Master View. This way, you can ensure uniform fill effects throughout the presentation, or just on specific slides. To add background style, follow the steps mentioned below:

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Go to the FORMAT mode, then click Edit Master Slide at the bottom of the panel. This will open the Master View.
  4. Choose the Master slide or a layout to apply the background style.
  5. Click the Fill dropdown to choose a background effect. There are four types of background fills:
    1. Solid Color applies a single color uniformly within the whole shape.
    2. Gradient Colors applies a continuous blend of two or more different colors.
    3. Image applies a picture as the slide background. You can also add your own picture as a background using the Image icon at the top of the window.
    4. Pattern applies a vibrant texture as slide background
  6. Follow Master will follow the background that the master slide follows.

Note:

The Hide Background Graphics option below the Fill menu will allow you to hide the background fills in slides. The option is available in layouts individually to help you hide background graphics in specific slides. The applied background will however, remain a part of the presentation, and you can retrieve it anytime using the Show Background Graphics. 

Format Slide Objects

Customize the properties of pictures, shapes, tables, and other objects using the Master slide or layouts instead of changing them on every slide in the presentation. Editing and formatting these objects in the Master View will apply the styles uniformly on all the slides at once or on required slides alone. This saves time and provides consistency in your presentation. To format slide objects, follow the steps mentioned below:

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Go to the FORMAT mode, then click Edit Master Slide at the bottom of the panel. This will open the Master View.
  4. Choose the Master slide or a layout, then select the object you want to format. Apply the required formatting style, such as stroke effects and shadow effects, using the right panel.

Format Text Properties

Customize text properties in the Master slide, such as font, size, color, and alignment. For example, you can change the font style and make it look bold for every title placeholder in your deck. The changes will be reflected in the entire presentation. You can also modify them in specific slides using their corresponding layout in the Master View.  To format text properties, follow the steps mentioned below:

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Go to the FORMAT mode, then click Edit Master Slide at the bottom of the panel. This will open the Master View.  
  4. Choose the Master slide or a layout, then select the text to format. You can choose the text contained within title, subtitle, or body placeholders in the slide. This will open the Format panel with various text formatting options on the right side. You can now change the text style, size, color, alignment, and other font properties.

Align, position, or rotate slide objects 

When multiple objects in your slide are not properly aligned, they can seem to overlap with each other, giving a distorted look. You can quickly align, rearrange, and position them using the Arrange panel in Master View. Align, position, rotate, or resize objects on all slides or specific decks using the Master or slide layouts, respectively. To align, position, or rotate slide objects, follow the steps mentioned below:

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Go to the FORMAT mode, then click Edit Master Slide at the bottom of the panel. This will open the Master View.
  4. Choose the Master or a layout, then select the objects you want to align. This will open the Format mode.  Align and arrange elements in the layout using the right panel. 

Media Files

Add Media files to a slide

Show lets you add media files such as images, videos, and audios from your device into your presentation. 

Note:

Supported file formats
Image: jpg, jpeg, png, gif, bmp, webp

Add images from device

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Select one or more images from your device to add them to your slides.
  4. Click Image under Media in the top bar and click the Add Image. This will open the file explorer window.
  5. Select the images you'd like to add to your slide and click Open.

Add an Image to Library 

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click Upload in the top-left of the Image window.
  4. Select the required images from your device to add to the library.
  5. You can now use these images in any presentation you create.

Add images from Library

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click the selected image from the Library and click Insert to add it to the current slide.
  4. Alternatively, you can double-click the image to add it to the slide. 

Search an Image

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click the Search bar within the Media Window and enter your search keyword.

Sort an image

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click the Sort By drop-down next to Upload and select a sorting option
  4. There are four sorting options:
    1. Name (A-Z/0-9): Sorts your image files in ascending order of the alphabet  (A-Z) or numbers (0-9).
    2. Name (Z-A/9-0): Sorts your image files in descending order of the alphabet (Z-A) or numbers (9-0).
    3. Oldest first: Sorts your image files chronologically from oldest to newest.
    4. Newest first: Sorts your image files chronologically from newest to oldest. 

Delete an image: Click the image, then click the Delete icon. To delete multiple images, press the Cmd or Ctrl key, select the images, and click the Delete  icon.

Audio Files

Add an audio file to a presentation

Note:

Supported formats: mp3, wav, m4a
Max size: 100MB

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click Audio under Media in the top bar.

Add an audio file from your device

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click Add Audio and select the audio from the dialog box that appears and click Open.

Add an audio file from Library

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click Audio under Media in the top bar and click Library within the window. All the audios available in the Library will appear.
  4. Select an audio file and click the Plus symbol to add it to the slide. You can also double-click to add the audio file to the slide.

Record an Audio

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click Start next to Record your Audio. A dialog will appear. Click Start.
  4. Click Stop to stop recording the audio.
  5. Click Insert to insert the audio file to the current slide. 

Use an audio file from WorkDrive

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click Pick from WorkDrive from the top right corner of the dialog.
  4. Select the required audio file from the folder and click Pick to add it to your slide.

Sort the audio files

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click the Sort icon to categorize your audio files name-wise or date-wise.

Upload audio files to your library

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click Upload next to Pick from WorkDrive to add audio files to the library.

You can further enable the Autoplay and Loop options for the audio file in the right pane. Also, using the Arrange pane, you can align and position the audio file as per your requirement.

Video Files

Add a video file to your presentation

Note:

Supported formats: mp4, mov, m4v, avi, wmv, mpg, and mpeg formats
Max size: 500MB

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click Video under Media in the top bar.

Add a video from your device

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click Add Video.
  4. Select the required video from the File Explorer and click Open. The video will be added to the current slide.
  5. Click Preview at the bottom of the video file to preview it within the slide.
  6. Apply Stroke or Shadow effects and enable the Autoplay or Loop options for the video file in the right pane.
  7. Align and position the video file as per your requirement in the Arrange pane.

Record video files

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click Record Video within the Video tab. The Audio Video settings dialog will appear.
  4. Rename the video in the Untitled Record space.
  5. Ensure the Mic and Camera toggle switch is on and click Continue.
  6. Click Start Recording to record the video.
  7. Click  to pause and  to resume recording.
  8. Once you finish the recording, click Stop Recording.
  9. Click Discard to Discard the video, and Insert to Insert the video in the selected slide.
  10. Click Preview at the bottom of the video file to preview it within the slide.
  11. Click the Change Video icon to change the video. This will allow you to pick a video from the Video library.

Adding shapes, smart elements, silhouette, and more

Shapes let you visualize ideas and concepts in a clear and effective way. Adding text, pictures, bullets, and numbers to them will make your slides look more interesting. After you've added a shape, you can add text, fill colors, hyperlinks, and a lot more to your shape using the Format Shape options. You can also combine two or more shapes to build group shapes and combine them as one object as you build your slide.

Types of Shapes

In Show you can add-

  • Shape: Simple and everyday shapes are put into broad categories such as basic shapes, block arrows, stars, action buttons, call outs, and connectors to help you decorate and highlight main points in your slides.
  • Smart elements: Visualize your data to enable your audience to understand your presentation and take away memorable insights. Show's smart elements make it easy to present information in an engaging and interesting way.They can also be formatted and animated, with an option to select the duration of the animation effect.
  • Silhouettes: Black-and-white graphic shapes are grouped into subcategories like business, athletes, emotions, hand gestures, and currencies to enhance your stories.
  • Draw your own shape: Create your own custom shape (such as a line, curve, free-form shape, or scribble), just as you would draw it with a paper and pencil. 

Add shapes

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click Shape in the top bar and Shape within the Shape window.
    Shape are categorized into various types.
  4. Click the selected shape to add it to your slide.
  5. Adjust the size using the pointers.

Add Smart Elements

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Select Shape from the Insert pane at the top and choose Smart elements.
    1. Smart elements are classified into circular indicators, horizontal and vertical indicators, arc meters, block battery, clock, and people indicators.
  4. Click on the selected smart element to add it to your slide. A pop-up dialogue will appear.
  5. For circle, horizontal, vertical, and arc indicators:
    1. Select the Percentage dropdown to select between Percentage or Value.
      1. Enter the required data.
      2. Use the Duration slider to decide how long the smart element will animate on the slide. You can use the Sec dropdown to choose between Sec (seconds) and Min (minutes).
  6. For clock indicators:
    1. Select the Real Time dropdown to select Real Time or Fixed Time.
      1. Real time displays the current time. You can also set a fixed time to be displayed in your slide.
    2. For timer clock indicator:
      1. Enter the time in the space provided.
      2. Click the Format dropdown to choose between Seconds, Minutes, or Hours.
      3. Use the Range slider to adjust the range.
    3. For people indicator:
      1. Use the up and down arrows next to the male and female indicators to increase or decrease the count.
      2. Check the Alternate box to alternate the male and the female count.
      3. Use the Size slider to adjust the size of the indicator.
  7. Click the Preview button to view how the smart element will animate in the slideshow.
  8. Use the available formatting options to optimize each smart element and deliver a compelling, informative presentation.

Add a silhouette 

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Select Shape from the Insert pane at the top and choose Silhouette at the left.
  4. Choose the category of silhouette you want to insert within the window.
  5. Use the navigation arrows to move in the bottom-right corner of the shapes window to navigate between the below categories:
    • Business: Show business strategies and marketing plans using illustrations for a salesperson, a businessperson, an advisor, a presenter, and more.
    • Athletes: Show sports activities like running, cycling, and kicking a ball.
    • Emotions: Illustrate moods and emotions like laughing, crying, excitement, and anger.
    • Hand Gestures: Count off points using the fingers of a hand, and show business gestures like handshakes and closing deals.
    • Currencies: Represent a variety of currencies including the dollar, euro, rupee, and more.
  6. Click the required silhouette to add to your slide.
  7. Use the pointers at the edges of the silhouette to adjust its size.

Draw a custom shape of line, curve, or scribble

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Select Shape from the Insert pane at the top and then choose Shape from the options at the left.
  4. Choose one of the Draw with pen options at the bottom of the shape window.

    Note:

    Before you start, enable Continuous Mode to start drawing your lines, curves, and free-form shapes continuously without the need to click and drag your mouse every time you draw

    1. Draw a Line: Create straight lines and give realistic hand-drawn effects.
      1. For a straight line, click Line and drag to draw.
      2. For a line connecting two shapes, click the Line and hover over a shape to display its connection points in red. Click the connector you want to attach your line to, then drag the line to the other shape's connection point and click on it to finish.
  5. You can format and arrange the line after it's added to the slide using formatting options.
    1. Draw a Curve: Create curved lines with either open or closed shapes.
      1. Click Curve, drag to draw your line, and then click wherever you want to add curves.
      2. To finish an open curve, double-click anywhere.
      3. To finish a closed curve, double-click at the starting point.
    2. Draw a Freeform Shape: Creates shapes that have both curved and straight segments.
      1. Click Freeform, drag for a straight line segment, and click wherever you want to add curves.
      2. Drag the cursor continuously to draw like you would with a pen.
      3. To finish an open shape, double-click anywhere.
      4. To finish a closed shape, click the starting point.
    3. Draw a Scribble: Create squiggly lines to form either open or closed shapes.
      1. Click Scribble and drag to start drawing.
      2. To finish an open shape, click anywhere.
      3. To finish a closed shape, click its starting point.
  6. You can format and arrange the freeform shapes and scribbles after they're added to the slide, similar to other slide objects. 

Draw continuous shapes

Select Shape from Insert pane at the top, choose the Shape category at the left, and enable Continuous Draw Mode to start drawing.

Convert diagrams with shape recognition

Draw professional-looking shapes without needing artistic ability and see that it automatically turns into a polished shape. To convert diagrams with shape recognition, follow the steps mentioned below:

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Select Shape from the Insert pane at the top and then choose Shape category at the left.
  4. Check the Shape Recognition checkbox to start drawing the outline of your desired shape and see your hand drawn shape transform into a polished shape.

Delete a shape

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. To delete a single shape, click to select it and then press the Delete key.
  4. To delete multiple shapes, click to select the first shape, press and hold the Shift key while you select the other shapes, and then press the Delete key.

Import or export a presentation 

Continue working on any file format from where you left with Show. Presentations created using other applications like PowerPoint can easily be imported and synced in Show. Presentations created in Show can also be exported in your required file formats. This will be useful when you want to share an existing slide deck or present it live to your audience without creating a new one.

Note:

Import presentations in the following file formats: ppt, pps, odp, sxi, pptx, ppsx, or potx.
Export presentations in .pptx, .ppsx, .pdf, .odp, .html, and .zslides file formats. 
Download selected slides as .pdf, .jpeg, and .png files.

Import presentations

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click File in the top-right corner, then click Import from the drop down menu.
  4. Drag and drop the required presentation and click Upload.  

Note:

The maximum file size you can import in Show is up to 500MB. Password protected
files in pptx and ppsx formats can be imported into Show.

Export/download a presentation

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click File, then click Download.
  4. Choose a file format to export the presentation or the required slides. 

Create and access presentations offline  

Show lets you access your presentations even when you are not connected to the internet. You can create, view, play, and edit a presentation while you're offline, as long as you are signed in to the app. Once you are connected to the internet, you can sync your presentations online.

Enable offline mode

Once you enable offline setup, the selected presentation will be made available offline. Play these presentations as a slideshow by accessing show.mgovcloud.in/offline.

You can create presentations offline using downloaded themes, templates, and slides designs.The offline setup is browser-specific. You will have to set up again if you wish to access presentations offline in a different browser.It is not recommended to enable offline setups on public computers as your data will be stored in browsers until offline mode is disabled.

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. From the left panel of Show's listing page, click Offline presentations.
  4. The offline setup dialog will appear with a set of instructions. Click Enable setup.

Presentations that are available offline can only be used to view or present. To edit a presentation you will have to create a copy of it. In the listing page, click the More Icon on the presentation thumbnail and select Make a Copy.

Make presentations available offline

While the offline setup only enables the five most recent presentations to be available offline. You can also choose to create any individual presentations offline.

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click any presentation thumbnail from the listing page.
  4. Tap the More icon and select Make available offline.
  5. In the editor page, click File, and choose Make Available Offline.
  6. You must duplicate a presentation to work on it offline.

Create presentations offline

You can access the gallery for creating a presentation offline. You can create a presentation offline using the downloaded templates, themes, and slide designs. To download a template, theme, or slide design,

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Hover over the required template, theme, or slide designs and click the More icon.
  4. Click Make Available Offline.

By default, the whitepaper theme is available to create a presentation offline. 

Revoke offline access: 

You can revoke the offline access to a presentation anytime you prefer.

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. In the listing page, click the More icon on the presentation that you have given offline access to and select Revoke Offline Access.
  4. In the editor page, click File and choose Revoke Offline Access.

Sync offline presentations online

While working on a presentation, when you are connected to the internet, you will be notified to sync your offline presentations online. 

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Click Sync Changes for the changes to be updated to the presentation immediately.
  4. Click Later to sync changes manually when you prefer.

To sync changes manually:

  1. Open the required presentation.
  2. In the editor page, click the More icon in the top-right corner of the presentation to sync the presentation.

Sync changes made by collaborator(s)

Changes made to your offline presentation by any collaborator will be automatically synced when you are connected to the network if the particular presentation is kept open. The changes will be updated automatically whenever you open the presentation.

To sync a presentation manually:

In the listing page, click the sync icon in the top-right corner of the presentation thumbnail.

Disable offline mode

Disabling offline mode will completely remove all the resources needed for Show to work offline. You cannot access Show if there is no network connection. Only after enabling the offline setup again will you be able to create and access presentations
offline. 

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. In the listing page, from the left pane, click Offline Presentations.
  4. Click the Settings icon in the top-right corner.
  5. Click Disable Offline setup.   
  6. In the confirmation dialog, click Disable.

Remove Offline Data

Removing offline data will remove all the presentations and gallery items(slides,themes, and templates) saved offline.

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. In the listing page, from the left pane, click Offline Presentations.
  4. Click the Settings icon in the top-right corner.
  5. Click Remove All Offline Data.
  6. In the confirmation dialog, click Remove.

Show integration with Sheet

The external data linking option in data fields allows you to integrate Sheet with Show. You can link any cell in the spreadsheet to your presentation as a data field. Any changes made to the spreadsheet can be synced with your presentation.

  1. Log in to https://mail.gov.in
  2. Select Show from the top menu.
  3. Create a Sheet with the required data.
  4. Navigate to the required slide in your presentation, click Text from the top, and choose Data Fields within it. 
    You can also enter $ in the required slide and choose Create New to create a new data field.
    The data fields window will appear.
  5. Click Add New.
    1. By default, the data field will be named as Untitled 1. You can rename it.
  6. Select Link from Source. By default, Sheet application will be selected.
  7. From the Document dropdown, select the spreadsheet.
    1. Click the WorkDrive icon  to choose a spreadsheet from WorkDrive.
  8. From the Sheet dropdown, select the sheet in which your data is stored.

You can link a cell, range, or a named range data to your presentation.

Cell:

  1. Click Cell next to Data and enter the cell location in which the data is stored.
    1. Alternatively, you can also click Select Range, choose a cell from the spreadsheet, and click Update from the top-right corner.
  2. Click next to Value to fetch a different data.
  3. Click Insert field.
    To use the added data field in other slides, navigate to the required slide, enter the $ symbol, and from the dropdown choose the data field that you wish to insert.

Range:

  1. Click Range and enter the range from the sheet.
    1. Alternatively, you can also click Select Range, select the required cell range from the spreadsheet, and click Update from the top-right corner.
  2. Click the Insert as Table dropdown to select between Insert as Table or Insert as Chart to insert the selected range as a table or a chart.

Named Range

  1. Click Named Range and choose the required Named range from the Select Range dropdown.

    1. Click the Insert as Table dropdown to select between Insert as Table or Insert as Chart to insert the selected range as a table or a chart.

    Note:

    When changes are made to the Sheet, you can use the <insert icon> to sync the values to your presentation.
    When you map values from the Sheet, your collaborators will be able to view the mapping. However, only those with access to the Sheet will be able to sync the changes.
